Guest profiles and service notes
Keep useful venue-level context for returning guests without cluttering every booking.
Guest profiles help staff recognise returning guests and carry useful service information forward.
What belongs on a guest profile
Use the profile for information that is likely to matter again, such as:
- service preferences;
- useful notes from previous visits;
- VIP, whitelist or blacklist status and the reason for it;
- recurring accessibility or seating context.
Use the individual booking for information that only applies to one visit, such as a birthday, anniversary, date night or a one-off request.
Finding a returning guest
When creating or editing a booking, search using the guest details available to you. If TablePace finds an existing venue guest, review the profile before creating new notes.
Guest identity is scoped to the venue. Staff should not assume that a guest profile from another business or venue is the same person.
Writing useful notes
Keep notes factual, concise and useful to service. Avoid unnecessary personal information. A good note tells the next team member what they need to know, not a history of every interaction.
